Calendar Crew collects information you provide when creating an account, including your name, email address, and family profile details. We also collect event schedules, team information, photos you upload, home address (for drive-time estimates and carpool coordination), and other content you create within the app.
Calendar Crew is designed for use by parents and guardians to manage their children's sports activities. We do not knowingly collect personal information directly from children under 13. All child profiles are created and managed by verified parent or guardian accounts.
Verifiable parental consent: When you add a child under 13 during onboarding, you must explicitly consent to data processing. Our AI features (schedule scanning, post-game recaps, insights) are blocked for any child under 13 without a recorded consent grant.
Parental rights under COPPA: You may review, delete, or stop further collection of your child's information at any time. Use "Delete account" in Settings to permanently remove all child data, or email privacy@calendarcrew.app with specific requests.
We use your information to provide and improve the Calendar Crew service, including managing schedules, sending event reminders, generating AI-powered insights, and facilitating family coordination. We do not sell your personal information to third parties.
Your data is stored securely using industry-standard encryption. We use Supabase for database hosting with row-level security policies that ensure families can only access their own data. Authentication is handled via secure OAuth providers (Google, Apple) and encrypted magic links.
We share the minimum necessary data with the following processors to operate the service:

Each processor has its own privacy policy. We review our processor list regularly and will update this page when it changes.
We use PostHog to understand feature usage and improve the product. PostHog identifies your session by your Calendar Crew user ID (not by cookies from other sites). We do not build cross-site advertising profiles or sell analytics data. We use Sentry for error monitoring; errors may include your user ID so engineers can reproduce issues.
We retain your data as long as your account is active. When you delete your account (Settings → Delete account), your profile, families you solely administer, children, events, RSVPs, messages, photos, and schedule shares are permanently removed within 24 hours. Encrypted database backups roll off within 30 days. Aggregated, non-identifying usage statistics may be retained for product analytics.
You can request deletion of your account and all associated data directly from the app (Settings → Delete account). You can export your data, update your information, or opt out of non-essential communications through your account settings. EU/UK and California residents have additional rights under GDPR and CCPA, including the right to access a copy of their data — contact us to exercise those rights.
